At Intrepid Mind Psychology, your appointment time is reserved exclusively for you. When a session is cancelled at short notice, it is often impossible to offer that time to another person who may be in need of support. To ensure the sustainability of our practice and fairness to all clients, the following policy applies:

1. Notice Periods and Fees

 

The notice period is calculated based on business days prior to your scheduled appointment time.

• More than 48hrs         No fee / Full refund

​

• 24 - 48hrs                    $100.00 flat fee (Standard fee Clients)

​

• Less than 24hrs           Full Session Fee (Standard fee Clients)

​

• Less than 48hrs           $50.00 flat fee (Bulk-Bill Clients)

2. Telehealth Alternative

 

If you are unable to attend in person due to mild illness, transport issues, or other sudden changes in circumstances, we offer the option to convert your session to Telehealth (Video or Phone) at your usual appointment time. This allows you to maintain continuity of therapy and avoid cancellation fees.

3. How to Cancel

 

Cancellations or rescheduling requests must be made via phone 0437 055 146 (text or voicemail) or email: kim@intrepidmindpsychology.com.au

 

4. Exceptional Circumstances

 

We understand that life happens. In cases of extreme, unforeseen emergencies (e.g., sudden hospitalisation or major accidents), fees may be waived or reduced on a case-by-case basis at the discretion of the practice owner. Please note that routine work commitments or general illness are not typically considered grounds for a waiver.

5. Payment Terms

​

• Third-Party Coverage: Please be aware that Medicare and most private health funds do not provide rebates for cancelled or missed appointments. You will be responsible for the out-of-pocket cost.

• Future Bookings: To maintain administrative fairness, no further appointments may be booked or attended until any outstanding cancellation fees are settled in full.
